Client Service Executive - Private Client (full time)

Client Service Executive

Responsible to - Head of Client Services

Purpose of the post

To support the delivery of consistent client service across the departments and to identify and implement improvements to the service delivered to clients.

Key Responsibilities

  • To identify and drive ways to improve and centralise existing client engagement and billing processes across departments, including responsibility for opening and closing files.
  • To ensure the production of effective and timely engagement letters.
  • To undertake billing of files on a regular basis, working with fee earners, secretaries and business support to ensure that this is undertaken timeously and accurately, and in a way which is consistent with providing excellent client service.This will involve working proactively with fee earners on the amount to bill, timing of billing and accuracy of bills, and to ensure that any cost revisions are communicated.
  • Work with fee earners to review cost estimates regularly and ensure that any cost revisions are communicated to the client
  • Assist fee earners in dealing with any billing queries and where appropriate liaise with Credit Control and clients’ accounts payable teams to resolve any issues.
  • To actively seek out client care improvements and work with fee earners to deliver the changes.
  • Continue to develop and project manage the Client Satisfaction Questionnaire process, including working closely with the Head of Client Services with regards to necessary follow up actions.
  • Prepare agendas and reports for meetings as required.
  • To support the Head of Client Services in developing a culture of client care across all departments.
  • To report on various aspects of the role as may be required, including producing relevant statistics and analysis of relevant areas of performance.
  • Understand the relevant regulatory and compliance framework in place and ensure that all functions are performed in accordance with those.

The post holder may be required to undertake other duties, which are broadly in line with the above responsibilities.

Criteria

Essential

  • Good standard of Education in English and Maths. At least GCSE level or equivalent

Paralegal – Commercial Property (full time)

PRETTYS SOLICITORS: PARALEGAL JOB DESCRIPTION – MAY 2019

The Commercial property team at Prettys solicitors are looking for a motivated and commercially minded paralegal to join their expanding team. The ideal candidate will have a legal background, either gained from legal education or experience from working within a legal environment. The position will require a candidate with a strong team focus, the ability to demonstrate attention to detail and excellent organisational skills.         

Key responsibilities

  • To provide legal and secretarial support for the Commercial Property and Real Estate teams at Prettys
  • To assist the fee earners with the efficient running of the legal department and work consistently as a team
  • To liaise with clients and third party solicitors regarding legal matters, providing a high level of customer focus
  • To have a clear understanding of the firm’s practice management system and keep all files up to date
  • To facilitate communication between the Commercial Property and Real Estate teams and other functions of the firm
  • To assist with business development opportunities for the Commercial property and real estate teams to include; assisting with the teams’ quarterly newsletter, proof reading articles for the website, attending events and general market research activities

Key tasks and duties

  • File opening (both physical and on the management system ensuring compliance with firm’s money laundering procedures)
  • Preparation of Letters of engagement as per fee earners instructions
  • Obtaining copies of documents from the Land Registry and the relevant local authority (including copies of planning permissions and business rates documentation)
  • Carrying out property searches and collating property due diligence in an organised and efficient manner
  • Transcribing dictated correspondence, attendance notes, reports on title and any other matter related documents
  • Assisting with pre-completion searches, bill preparation, undertakings, preparation of engrossment documents and indemnity insurance policies
  • Attending to post-completion matters including lodging of Land Registry applications, management of Land Registry requisitions, submission of SDLT returns, collating completed documents for the relevant party and attending to file closures
  • To undertake any other duties that from time to time may prove necessary, including relevant duties or projects delegated by the Commercial Property and Real Estate Teams which are in line with the responsibilities of the post.
  • Co-ordinating internal meetings, and meetings with clients including room bookings and diary management

Experience

  • The ideal candidate will have previous experience of working in a paralegal/legal secretarial environment along with the following:
  • Highly competent in Microsoft Word and Excel.
  • F/ILEX or Institute of Paralegal (Desirable but not essential – training opportunities can be provided to the right candidate)
  • Excellent verbal and written communication skills
  • Excellent organisational skills

Secretary - Commercial Dispute Resolution (full time)
A full time legal secretary working for our Commercial Dispute Resolution team.

Solicitor - Corporate (full time)

Full-time Fee Earner in our Corporate department, up to 2 years pqe.
